KZC is an international award-winning design firm providing integrated design services exclusively within the luxury hospitality sector. We are seeking a talented and dynamic Office Manager for our Bangkok studio.
The Office Manager essentially ensures the smooth running of an office on a day-to-day basis and manages the administrative requirements of the office. The Office Manager is responsible for giving strategic guidance and direction to the Operations Manager to ensure that the Company achieves its mission and objectives. The typical duties include overall Human Resource Management, systems, tactics, managing databases, implementing and maintaining procedures/office administrative systems and procedures across the organization.

Job Responsibilities
• Developing and implementing HR & Training strategies and initiatives aligned with the overall business strategy.
• Bridging management and employee relations by addressing demands, grievances, or other issues.
• Managing the recruitment and selection process and retaining well-motivated, trained, and developed staff ensures that the Company achieves its mission and objectives.
• Nurture a positive working environment.
• Prepare and or oversee/verify/endorse all the preparation of the monthly payrolls and expenses of the BKK office and sign off prior to sending to the Operations Manager's approval.
• Ensure legal compliance throughout human resource management.
• Organizing HR induction programs for new employees.
• Direct and control the work resources of the offices.
• Oversee all staff KPI development and internal HR and Creative initiatives.
• Oversee all staff appraisals and performance reviews as required or assigned.
• Provide strategic advice and guidance to the CEO, to keep them aware of developments within the industry and to ensure that the appropriate policies are developed to meet the Company’s mission and objectives and to comply with all relevant statutory and other regulations.
• Provide strategic advice to improve the company and team performance providing quarterly reports for Management meetings. Conduct all strategic Management Meetings with key staff and CEO.
• Represent the Company in negotiations with customers, suppliers, government departments, and other key contacts to secure the most effective contract terms for the Company.
• Develop and maintain Total Quality Management systems throughout the Company to ensure that the best possible products and services are provided to customers.
• Develop, promote and direct the implementation of equal opportunities policies in all aspects of the Company’s work in BKK.
• Develop and direct the implementation of policies and procedures to ensure that the Company complies with all health and safety and other statutory regulations.
• Maintains office services by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving supply requisitions up to an amount defined by CEO; assigning and monitoring clerical functions.
• Completes operational requirements by scheduling and assigning employees; following up on work results.
• Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
• Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
• Maintains office staff by recruiting, selecting, orienting, and training employees.
• Maintains office staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results.
• Lead by example and ensure the team are providing a professional level of service and consistently exhibiting Kristina Zanic Consultants Service Standard and Values.

Other Responsibilities
• Ensure full use of the filing system and databases.
• Be punctual and on time to commence work.
• Be responsible for ensuring that a professional, neat, and tidy appearance is portrayed at all times, including leading by example through maintaining high standards of moral and appearance.
• Assist and work together as part of a team, creating and leading a harmonious work environment. Be readily available at all times to deal with problems or concerns.
• Ensure Company rules & procedures are followed in accordance with the Employee Handbook.

Qualifications & Experience
• A proven record of success in senior level general or commercial management, preferably in a related industry.
• At least ten years’ senior level experience of management of people and resources.
• Graduate level of intellect, preferably with a higher degree in a management discipline or a professional qualification.
• A comprehensive knowledge of the industry.
• An understanding of financial management and wider management principles and techniques.
• Political and presentational skills with an appreciation of the demands of conflicting interests and of meeting statutory requirements.
• A very high level of commercial awareness.
• Leadership skills.
• Excellent communication skills, organizational skills, analytical and problem-solving skills.
• Exceptional English skills (written, reading, spoken).
• Required to have advanced knowledge of MS Office applications, accounting, finance, planning and human resource software proficiency.
